BOOKINGS
When you receive a booking request it will be sent to you via email. You have 24 hours to accept or decline the booking.
How to accept a booking?
To accept a booking click on ‘accept’ in the booking request email. This will take you to https://partners.holidayfox.com/ to login.
How to decline a booking?
To accept a booking click on ‘reject’ in the booking request email. This will take you to https://partners.holidayfox.com/ to login.
Managing existing bookings.
You can manage existing bookings on the partner dashboard under the bookings tab. Click on the booking itself to bring up the information.
Help! The customer has not received the booking confirmation.
We automatically send booking pending and booking confirmed emails. Sometimes email providers can send our emails to ‘spam’ or ‘promotions’. Please ask the customer to check this.
How to cancel a booking.
Click bookings >> upcoming >> click the booking you wish to cancel >> scroll down to the bottom and click 'Cancel Booking'
How to refund a customer.
Click bookings >> cancelled >> click the booking you wish to refund >> scroll down to 'Stripe Transaction' and click 'view payment'.
This will redirect you to the payment on Stripe where you can refund the customer partially or fully.
Please note : You no longer need to notify us about cancellations or refunds, but you should always notify the customer if you cancel their booking.
If payment is not showing in Stripe please contact Stripe directly.
How to add a manual booking.
- Go to Calendar
- Select month and accommodation type
- Click ‘Add Booking’ button
- Fill in details
- Use ‘notes’ to add any extra customer details
- Click ‘save’.
I need to move a booking.
At the moment we do not have a ‘move booking’ feature. If you need to move a booking you can still do this by adding a manual booking and cancelling the original booking. You can copy the booking information to the manual booking in the notes section.
CALENDAR, AVAILABILITY & ICALS
What is an ical?
An ical is a link that allows data to be communicated between two or more places.
If you are listed on multiple platforms you can use icals to sync your availability. This ensures you do not get double bookings.
My bookings aren’t syncing.
We work with icals. If your bookings are not syncing it may be because you have missing or incorrect icals. Please check you have icals for all your units. To do this:
Select the accommodation option (e.g non-electric grass pitch) >> scroll down to icals.
Here you can find icals for all your units. If the icals are in place on HolidayFox please check that the other platforms you use also have all icals in place.
Each individual unit (for example 000) needs an unique ical from each platform it is listed. If you list with PitchUp and Airbnb, unit 000 should have three icals - 1 from HolidayFox, 1 from PitchUp and 1 from Airbnb. Each of the other platforms should also have 3 icals, 1 from each platform.
Please note: Some platforms do not send manual bookings to us via icals. We do send this information in ical. If you need to add a manual booking, please do this on the HolidayFox calendar.
How to import icals
If you want to add external icals (such as Pitchup or Airbnb)
- Go to Manage Campsite
- Select Accommodation Type
- Scroll down to ‘Calendar synchronisation’
- Click ‘add an ical feed url’
- Paste url
- Click Save
- Click to state toggle to green
How to export icals
- Go to Manage Campsite
- Select Accommodation Type
- Scroll down to ‘Calendar synchronisation’
- Click on the copy button (two small squares) next to the HolidayFox ical.
- Paste the HolidayFox ical in the corresponding unit on all other platforms you use (PitchUp, Airbnb, etc).
How to block off a date/s on the calendar.
If you need to block dates for any reason you can do this on the calendar.
- Go to calendar
- Click ‘Block Units’
- Select units you want to block - If you want to block all units, select ‘all’
- Choose dates and save
PRICING
To add or amend pricing first login to Partner dashboard

We understand the adding pricing can be overwhelming especially if you have multiple seasons and tariffs but don’t worry we’re here to help you make it as simple as possible for you.
How to add pricing
The first step is adding your seasons. If you have the same price year round you only need one season. If you have different prices for different times of years your seasons will define this. E.g Low Season 01/03 - 29/04 High Season 15/07 - 01/09
How to add a season
- Go to Manage Campsite
- Scroll down to ‘Seasons, Special Dates and Tariffs
- Click ‘add new season’
- Write a clear name
- Select dates
- Click Save.
Please note: Season dates cannot overlap
How to apply pricing to an accommodation type
Once you have created your seasons you need to apply them to your individual accommodation types. At this stage you will add pricing.
- Select the accommodation type you want to add the pricing to. E.g Non-electric grass pitch.
- Scroll down to Pricing
- Click the green Add New Price Button
- Select the correct season
- Select the tariff/s.
- Add price
- Click Save
- Go back to the Campsite page
- Click Publish.
How to edit pricing
- Select accommodation type
- Scroll down to Pricing
- Click 'Delete current pricing' for the season you want to change
- Click 'Add New price'
- Select correct season and tariff
- Enter new price
- Click Save
- Go back to the Campsite page
- Click Publish.
How to add a product (e.g dog, hamper, car parking)
PAYMENTS
When do I receive payments for bookings?
Payment is made direct to your Stripe account at the time the booking is accepted. The money that reaches your Stripe account is already minus the 5% HolidayFox commission.
Can I change how often I get paid?
Payment is made direct to your Stripe account at the time the booking is accepted. You cannot delay this payment. However, you can change how often you make a payout from your Stripe account to your bank account. You can edit this directly on your Stripe account. More information here.
How much is the HolidayFox Commission?
5% + VAT. Commission is taken at the time of booking, before it is sent to your Stripe account.
